Job Description
We are looking for an organized, proactive Executive Assistant & Project Administrator to provide high-level support to an executive and help coordinate key projects, meetings, travel, and stakeholder engagements. The ideal candidate is detail-oriented, confident in communication, and able to manage competing priorities in a fast-paced environment.
Key Responsibilities
- Manage and prioritise the executive’s inbox, calendar, meetings, and follow-ups
- Plan and coordinate events, conferences, and internal/external meetings (venues, catering, RSVPs, agendas, minutes)
- Support project administration by tracking actions, timelines, deliverables, and status updates
- Coordinate travel arrangements (flights, accommodation, itineraries, claims) and prepare travel packs
- Prepare professional documents and presentations; maintain accurate records and filing systems
- Support stakeholder engagement by coordinating communications, schedules, and meeting materials
- Act as a reliable point of contact, ensuring queries are handled professionally and timeously
Requirements
- Proven experience as an Executive Assistant, Personal Assistant, Office Administrator, or Project Administrator
- Strong organisational skills and attention to detail
- Excellent written and verbal communication skills
- Confident working with Microsoft Office (Outlook, Word, Excel, PowerPoint) and online meeting platforms
- Ability to handle confidential information with discretion
- Comfortable working independently and managing multiple deadlines
